Service Terms & Conditions
Thank you for choosing Rosemay Studio for your event! Please read through the Terms & Conditions carefully.
By paying the deposit, you agree to the following:
1 - To secure your event date, a 40% deposit is required. This deposit is non-refundable and covers the time for preparations, materials and exclusively reserving your date. This deposit amount will be used towards your final total.
2 - You have 10 days to pay the deposit after confirmation of your booking. If payment is not received within this time, your date may be released.
3 - Remaining balance is due 4 weeks before your event date. Late payments may incur additional fees.
4 - Rush Event: If you book 2 months or less before your event, full payment is required upfront and rush fees may apply. Due to the nature of our service, we reserve the right to decline bookings if there isnβt enough time to prepare items to the standard we promise. Rush fees may apply.
Booking & Deposit
5 - We provide live, personalised hand engraving on-site during your event. This is an interactive, time-based service designed to create a memorable experience for you and your guests.
6 - The number of items completed will depend on guest flow and event timing. While we will do our best to accommodate as many guests as possible, final numbers cannot be guaranteed.
7 - As each engraving is done by hand, slight variations may occur, which adds to the charm of live personalisation.
8 - Our role is to provide engraving services only and does not include event coordination or guest management.
Service Provided
9 - Once deposit has been paid, we cannot make any changes to item type and quantity unless agreed upon.
10 - All engraving items are sourced and prepared by Rosemay Studio ensuring highest quality and consistency for your live engraving experience.
11 - A sourcing fee may apply for custom or non-catalogue items, covering research, ordering, quality checking and preparation. We will let you know at the time of your request.
12 - We generally recommend up to 4 monthsβ notice for sourcing to guarantee availability and quality.
13 - We reserve the right to suggest alternatives or decline items that are unsuitable for engraving.
Item Sourcing & Packages
Client Responsibilities & Event Set-up
14 - To ensure a smooth and high-quality live engraving experience, we ask that you provide the following on the day:
a. Workspace - You must provide a suitable workspace including a large table (approximately 1.5m or larger), a chair and good lighting.
b. Venue Access - You must provide all necessary access to the venue, including a car park on the day.
c. Vendor Meal - For events lasting 6 hours or more, a vendor meal must be provided.
d. Event Details - Accurate event information must be shared in advance, including day-of schedule, timings and any other relevant details.
e. Payment & Deadlines - The client must adhere to the agreed payment schedule including deposit and final balance payment.
15 - Failure to meet these responsibilities may impact the engraving service and Rosemay Studio cannot be liable for issues caused by missing, unsuitable or late-provided items or set-up.
16 - Rosemay Studio reserves the right to adjust services if client responsibilities are not fulfilled. In such cases, we are not responsible for refunding any payments already made, including deposits.
17 - Travel outside of Auckland is included in your quote / invoice and is calculated based on distance, time, and any overnight stays if required.
18 - While every effort will be made to arrive on time, Rosemay Studio cannot be held responsible for delayed caused by traffic, weather, or other circumstances beyond our control.
Travel & Accomodation
19 - If you need to cancel, please let us know in writing as soon as possible. Deposits paid are non-refundable as it covers our preparation, materials and reserving your date exclusively.
20 - Should you cancel 4 weeks of the event date, the full payment will be retained as we will not be able to rebook for that date.
21 - If you reschedule, the deposit may be applied to the new date subject to our availability.
22 - In the unlikely event that I am unable to provide the engraving service due to unforeseen circumstances, the deposit and all amounts will be refunded in full.
Cancellation or Rescheduling
24 - We may take photos or videos of our engraving work and event to showcase our work, including but limited to social media, our website, and in marketing materials.
25 - We promise to use all photos and videos respectfully. No full names will be shared, and people will not be specifically identifiable -first names only may be used if needed.
Photography & Portfolio
23 - Neither party will be held responsible for delays or inability to provide services caused by events beyond their reasonable control, including but not limited to extreme weather, travel disruptions, illness, or government restrictions. If such an event occurs, the affected party will notify the other as soon as possible and make reasonable efforts to resume or reschedule the service.
Unexpected Event
26 - By confirming your booking and paying the deposit, you agree to these terms.
27 - Any changes must be agreed upon in writing.
28 - This agreement is governed by the laws of New Zealand.
